The Annual General Meeting (AGM) of the European Union Chamber of Commerce in China, where the President (1), Vice Presidents (3) and Treasurer (1) positions are elected, will take place on 27th May 2021 at 16:30 in Beijing at the Four Seasons Hotel Beijing, 3rd Floor, Beijing Ballroom.
This year’s AGM will be available for members to join both online or in person in Beijing. Due to seating limitations, the designated representative from the member company with voting rights (or the assigned proxy) are given priority on a first-come-first-served basis to attend the AGM in person, with one (1) representative per company. Additional tickets may be available at a later date at a cost of 200RMB/person. Please kindly indicate whether you will attend online or in person when registering.
The EU Ambassador to China and the Honourary President of the European Chamber, His Excellency Nicolas Chapuis, will deliver a keynote speech at the event. President Joerg Wuttke will present the Chamber’s Annual Report showcasing the key moments and achievements in 2020. The outgoing Chairman from each of the six local chapters of the European Chamber will also provide an overview of the achievements of their respective chapters.

Who can run for election at the AGM?
1. President (1 position) – Any representative of a corporate member of the European Chamber headquartered in the European Union.
2. Vice President (3 positions) – Any representative of a corporate member of the European Chamber.
3. Treasurer (1 position) – Any representative of a corporate member of the European Chamber.
The President, Vice Presidents and Treasurer shall be elected for a two-year term and shall serve at the Executive Committee of the European Chamber for those two years (2021-2023).
Who can vote in the election?
You can vote at the election if you:
1a) Are the designated representative (the main contact between the European Chamber and your company); or
1b) Are an individual member; and
2. Paid the membership fees for the year 2021 and have no outstanding payments (please make sure that the Chamber has received and confirmed your membership payment and any other outstanding payment by no later than 18:00 on Tuesday, 25th May 2021, Beijing time)
Eligible members with voting rights may only cast one vote per company. Please contact Mr. Luyang Syvanen at lsyvanen@europeanchamber.com.cn to confirm your voting status.
Who can attend the AGM and election meeting?
All members (including those who do not meet the requirements for voting and standing for election) have the right to participate, with the designated representative given priority on a first-come-first-served basis to attend the AGM in person, with one (1) representative per company. However, only members who meet the above-mentioned criteria can vote or run for election.
Kindly note that you will need to register, and have your registration confirmed by email, before 18:00 on Tuesday, 25th May 2021, in order to participate.
How can I vote at the election?
Updates to the Articles of Association, approved during the AGM in 2016, have made voting more convenient by introducing the option of e-voting. There are three ways to vote:
1. In person by secret ballot at the election venue on Thursday, 27th May 2021. Please note that even if you have voting rights confirmed by the Secretariat of the Chamber, you must have registered for the AGM in Beijing by 18:00 on Tuesday, 25th May 2021, in order to exercise this vote.
2. Electronic voting: Open from 10am on Thursday 20th May until 10am on Tuesday 25th May by accessing a designated link using your European Chamber user account email. Please note that the voting information will be sent to the designated representative of your company (from the primary legal entity registered with the Chamber) following the announcement of the candidates. If you vote in advance by electronic voting you will not receive a ballot to vote again should you also attend the AGM in person.
3. Assign a proxy to vote on your behalf by 18:00 on Tuesday, 25th May 2021. Please fill in the proxy form and send a scanned copy by e-mail to Mr. Luyang Syvanen at lsyvanen@europeanchamber.com.cn, or deliver it in person at the Chamber office in Beijing (Office C412, Beijing Lufthansa Center, 50 Liangmaqiao Road, Chaoyang District, Beijing 100125, P.R. China).
The proxy must be a colleague from your own legal entity, and he/she must be present in person to vote. The requirement has only two exceptions:
1. An individual member may assign his/her proxy to another individual member / corporate member with voting rights. However, an individual person can only hold a maximum of 5 proxies.
2. The designated representative from a primary entity located in a Chapter other than Beijing, and without an additional membership in Beijing, may assign a proxy to a different corporate member with voting rights. However, an individual person from a corporate member can only hold a maximum of 5 proxies.
Proxies received after the deadline or in a format different from those listed above won’t be accepted.
How can I run for elections?
The nomination period will open at 18:00 on Tuesday, 6th April 2021, and will close at 18:00 on Friday, 7th May 2021.
