Job description
Position Overview:
Duke Kunshan University (DKU) seeks candidates for the Administrative Assistant for Grant Management at Environmental Research Center (ERC). The ERC is an interdisciplinary research institution that integrates research and education programs in environmental science and policy. The ERC provides a hub for faculty, scholars, and students to engage in research projects and academic workshops in the fields of Climate Change and Policy, Sustainable Materials, Bio-conservation, Carbon Neutrality, etc.
The candidate will provide administrative support for research grants/awards/contracts management, particularly in the fields of advanced materials and sustainable development. The candidate will support grant activities by assisting in the preparation and submission of technical and financial reports to the sponsors and other stakeholders. The candidate will also actively support a wide variety of research activities and initiatives that promote the ERC both within China and globally.
We are looking for an individual with experience in research support, grant management and excellent communication skills. A strong customer service orientation is essential. Good organizational, management and interpersonal skills are required.

Co-Directors of the Environmental Research Center
Essential Duties:
The candidate will serve as the primary contact point for the day-to-day execution of the center’s research activities primarily related to the advanced materials and sustainable development research direction. The position requires an individual capable of functioning in a highly independent manner and simultaneously managing many tasks. The work also requires an individual with a strong mature judgment, coordination of detailed logistics planning, and strong communication skills both in-person and via written communications.
The candidate responsibilities will include, but are not limited to, the following:
Research Support
1. Support the co-directors in managing funded research projects, ensuring compliance with funder’s requirements at every phase.
2. Coordinate effectively with the internal and external stakeholders to ensure the timely completion of various periodic financial and technical reports and the required project deliverables.
3. Assist in preparing PowerPoint presentations for progress updates with funders and collaborators.
Administrative Support
1. Assist the co-directors in recruiting research staff with advanced materials technologies and sustainability backgrounds. Hire and effectively manage the research student workers and interns.
2. Maintain the databases required for reporting on research grants and activities for sponsors and university officials.
3. Arrange for transportation, lodging, technology support, and reasonable personal assistance for academic conferences, research seminars/workshops and other research and event promotion activities.
4. Organize meetings with funder, as well as with academic and industrial collaborators.
5. Support the lab space expansion and application, and coordinate the lab visits. Manage the procurements of equipment and lab consumables.
6. Provide training to faculty, staff and students on research-related policies, and health and safety guidelines.
7. Support skill development and professional training programs.
Budgeting & Finance
1. Work with other departments at DKU on program expense submission, contract review, information sharing, and other tasks requested.
2. Develop project budget plan and monitor the project expenditures and compliance to ensure successful program implementation while staying within the budget.
3. Prepare regular financial reports to keep program leadership apprised of the program’s financial situation.

Skills & experience
Required Qualifications:
1. A bachelor’s or master’s degree in materials science and engineering, materials chemistry, chemical engineering, nanoscience & technology, sustainability technology or other related areas. At least two years of experience in education or program administration/management, with experience in materials science research.
2. Highly motivated personality and fully committed to research support.
3. Superior verbal and written communication skills in both English and Mandarin.
4. Ability to establish interpersonal rapport and relate to individuals from a wide range of backgrounds and cultures.
5. Ability to handle multiple priorities in an independent manner.
6. Quick learner, and attention to details.
