培训背景 BACKGROUND
- 作为参加会议或谈判等商务事项的后续任务之一,英文报告写作可能会耗费写作者大量的时间,尤其是当写作者缺乏正确的工具,或未能运用明确的写作方法时。
- Report writing is one of the immediate follow-up tasks of participation in conferences, meetings, negotiations, etc. It can be time-consuming, especially when a participant/delegate lacks the right tools or does not apply a clear methodology.
- 依会议的类型不同而有所差别,通常而言,报告会对一个或一组问题进行调查、分析和描述,并据此提出相关的建议或后续行动。
- Reports generally involve presenting an investigation, analysis, and description of an issue/set of issues, with recommendations for proposals/follow-up actions, etc. depending on the nature of the meeting that’s has taken place.
- 报告涉及领域虽然丰富多样:有商业报告,科学/学术研究报告、外交活动报告等等等等,但撰写这些报告的基本步骤在很大程度上又是共通的。
- There are many different types of report including those related to: business, scientific/academic research, diplomatic activities, etc. The basic steps for writing them, however, are largely the same.
1. 写作前应考虑哪些问题? What are the terms of reference?
- What is it about?
- What is required?
- Why is it required?
- When is it required?
- Who is the target audience – Who is it for?
2. 写作步骤:什么是报告撰写的合适方法? (以下衍生问题为写作者必须面对的问题——确定撰写报告的步骤) What is the appropriate way of doing the report – the procedure? [Answering these questions helps in drafting the procedure section of the report – the steps the report writer needs to take.]
- What information do I need?
- Do I need to do any background presentation/reading?
- What articles/documents (handouts) do I need?
- Do I need to interview/observe anyone?
- Do I have to record data?
- How am I going to approach this?
3. 写作信息获取 Getting/Sourcing the Information
- What information do you need for your report?
- Do you need to access earlier reports/interview other people, etc.?
- Is the information relevant and appropriate?
- Are you clear what the basis of your report is/should be?
4. 构建报告框架 (根据报告的性质差异,不同的报告会在细节上有所不同,但大体框架仍然是类似的) Structuring the Report [Reports generally have a similar structure, but some details may differ, according to the nature of the report.]
- What type of report is involved: Research report? Laboratory Report? Business Report? Investigative Report? Diplomatic Report?
- How formal is it meant to be? Who is the target audience?
- Is there a specified length to the report? Depending on the type of report, the structure may include:
- Title page
- Executive Summary
- Contents
- Introduction
- Terms of Reference
- Procedures
- Fin dings
- Conclusions
- Recommendations
- References/Bibliography
- Appendices
- Reports usually contain numbered headings and subheadings: 1, 1.1, 1.2; 2,
5. 报告的首次起草 Preparing the First Draft
- Findings – These may be the result of your reading, observations,
- interviews, investigations, discussions, meetings, etc.
- Presentation – You may also wish to include photos, tables, graphs, etc. to
- make the report more readable/easier to follow.

6. 调查成果分析及总结撰写 Analysing Findings and Drawing Conclusions
- What have you found/discovered/learnt?
- What is significant/important/interesting about the findings?
- What do these findings suggest? What follow-up actions are necessary, if any?
- No new information should appear in the conclusion.
7. 提出建议 (建议是由你提出的解决方案和/或你对未来可能发生情况的预判) Making Recommendations [Recommendations are what you think the solution to the problem is and/or what you think
should happen next.]
- Reread your findings and conclusions.
- Who needs to respond to the report? How should they respond (if at all)?
- Are your recommendations practical? Do they relate to your conclusions?
- Have you included sufficient detail for the reader to know what needs to be done and who should do it?
- Have you listed your recommendations according to their importance, ordered from most to least important?
8. 行动纲要及报告目录起草 Draft the Executive Summary and Table of Contents
- Does the report require an Executive Summary and/or List of Contents? [Either or both are usually written after the report is completed – when the structure and recommendations have been finalised!]
- An Executive Summary is usually about 100 words long: It explains what
- the report is about and summarises the conclusions.
9. 编制参考目录 Compile a Reference List
- This is a list of any sources you have used/referred to in the report.
10. 修改报告草稿 Revise the Draft Report
- Have you done what you were asked to do?
- Are all the required sections included?
- Is the information accurate and comprehensive?
- Is the argument logical? Is it supported?
- Are illustrations (graphs, diagrams, etc.) used appropriately?
- Is the formatting correct?
- Is the report clear and effective in the way it makes its points?
11. 报告写作要点 Points to Remember
- You will have to state the problem in a sensitive way. Mrs Deng is probably very proud of her company and will not welcome criticism.
- Make sure that you make it clear that this is a serious problem. Mr Thomson is giving a real warning.
- Introduce the problem by pointing out past strengths.
- Pay tribute to the vision that has brought the company this far.
- Suggest that the time has come to think forward.
- Suggest that staff members should be invited to give their views on future designs and fashion trends.
- Suggest that the finance department prepares an assessment of the impact on the company of the loss of the Global Shops contract.

August 2004 to Present – SKH Lam Woo Memorial Secondary School
• Teaching and developing materials. I have mainly taught English (Form 2) but have also taught Use of English (Form 6), Oral Discussion Skills (Forms 5, 6 & 7), Literature, Language & Communication (Form 3), Learning English through Drama (Form 4) and Oral Skills (Form 5). For the past several years, I have been the Form 2 English Coordinator;
• Setting up and running a highly successful English Corner.
• Setting up and running a multi-media production studio and leading the school’s Creative Media Studio student team. I am also responsible for lending out equipment and producing promotional videos for the English Department, English Awards Scheme and school;
• Setting up and maintaining websites for the English Department (featuring online discussions, downloadable materials and student work), Creative Media Studio and English Corner;
• Running professional development activities for my colleagues. These have included EMI teaching and learning workshops and one-to-one consultations with EMI content subject teachers. I am also responsible or monitoring the school’s language policy;
• Providing students with additional learning opportunities by coaching participants in public speaking, choral speaking, drama and debating competitions and helping run a variety of other extra-curricular activities and enrichment programmes;
• Assisting the Panel Chair in planning and writing proposals for government and school grants.

• Teaching & project supervision: Supervising final-year projects in which students planned and carried out real-world public relations and fund-raising campaigns; teaching students in a variety of degree, higher diploma and associate degree programmes in courses covering diverse areas such as academic writing, literature, creative writing, business and technical communication, presentation skills, grammar, communication, language learning theory, desktop publishing and website design.
• Course development: Developing courses in creative writing, academic English and English for specific purposes and co-developing courses in literature and web design.
• Administrative duties: Creating and maintaining a website showcasing the poetry and prose of young Asian writers (AsianVoices), designing and maintaining the division's English for Professional Communication website, designing a variety of promotional materials for the division, serving as the divisional representative on the Public Administration and Management Programme Committee and organising seminars given by professional writers.
